This Privacy Policy describes how The Unseen Group Ltd (“we”, “us”, “our”) collects, uses, and protects your personal data when you visit our website theunseen.co.uk, engage with our services, make an enquiry, attend our courses, or interact with us in any way.

We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and other applicable laws. By using our website or providing your personal data, you agree to the practices set out in this Privacy Policy.

2. Who We Are (Data Controller)

We are the data controller responsible for your personal data.

We are not required to appoint a Data Protection Officer but will update this policy if that changes.

3. Personal Data We Collect

3.1 Data you provide directly

When you contact us, enquire or sign up for courses, or communicate with us, we may collect:

  • Telephone number
  • Enquiry details
  • Course registration details
  • Payment information (processed securely via third-party providers)
  • Any additional information you voluntarily provide

3.2 Automatically collected data

When you visit our website, we may collect the following through cookies and similar technologies (managed by Cookiebot):

  • IP address
  • Device information
  • Browser type
  • Operating system
  • Referring URLs
  • Pages viewed
  • Time spent on the site
  • Cookie identifiers
  • Advertising identifiers

Non-essential cookies are only used after you provide consent through our Cookiebot consent banner.

3.3 Marketing and advertising data

This includes:

  • Interactions with our Google or Meta ads
  • Email engagement data
  • Audience list membership (e.g., Customer Match)
  • Analytics data related to marketing campaigns

3.4 Self-tape and showcase videos

We run two separate services that involve you uploading a video of your performance:

  • In-studio training packages (Studio, Premier and Industry): videos are uploaded to Vimeo and reviewed by our tutors and graded by a reputable casting director or agent. On the Premier and Industry packages, videos are also added to a Vimeo showcase that we share with agents and casting directors.
  • The Industry Lab at The Unseen: an online feedback tool included with our online course. Your video is graded against our own 30-point rubric, with both human curation and AI supporting the process, and is not shared with anyone outside The Unseen.

For each we collect the video you upload, the content of the video (your performance), your name and contact details, and any feedback, scores and notes we produce. Full details are in Section 8.

3.5 WhatsApp groups

When students join our WhatsApp groups, other group members may see their telephone number and profile name.

WhatsApp processes data independently under its own privacy policy.

4. How We Use Your Personal Data

We process your personal data for the following purposes:

4.1 To provide our services

  • Responding to enquiries
  • Processing course reservations
  • Managing attendance
  • Offering support and communication
  • Providing self-tape and showcase feedback

4.2 Marketing and personalised advertising

We use your data to:

  • Provide updates and information about our courses
  • Run remarketing and personalised advertising campaigns
  • Improve the relevance and performance of our ads

We may upload your data (e.g., email addresses) to advertising platforms such as Google and Meta to create Customer Match or Custom Audience lists used for:

  • Remarketing
  • Lookalike audience creation
  • Audience measurement and optimisation

These platforms process such data only for matching and ad delivery in accordance with our instructions.

We never sell personal data. We use Google advertising and analytics technologies, which may collect and process information including IP addresses, device information and online identifiers for purposes such as conversion measurement, fraud prevention, audience creation, advertising personalisation and campaign performance reporting, subject to your consent where required.

4.3 Website analytics and improvement

We analyse usage patterns to:

Analytics cookies only run with your consent.

  • WhatsApp LLC (when using WhatsApp groups)
  • Vimeo (hosting for in-studio package videos and the showcase)
  • Google Workspace and Google AI services (The Industry Lab)
  • Circle (online members’ area)
  • Automation tools that connect the above on our behalf

These organisations act as data processors, and we require them to handle your data securely and lawfully.

We do not sell or rent your personal data.

7. Cookies and Tracking Technologies (Cookiebot)

Our website uses Cookiebot to manage all cookies and tracking technologies in a GDPR-compliant way.

Cookiebot:

  • Presents a consent banner when you visit the site
  • Blocks all non-essential cookies until consent is given
  • Allows you to accept, reject, or customise your cookie preferences
  • Provides a full cookie declaration
  • Allows you to withdraw consent at any time

You can manage your cookie settings at any time using the Cookiebot widget on our site.

8. Self-Tape and Showcase Videos

8.1 In-studio packages (Studio, Premier and Industry)

Students on our in-studio packages upload videos to a designated Vimeo account. Each video is watched and graded by a tutor or casting director, who writes your feedback.

If you are on the Premier or Industry package, your video may also be added to our Vimeo showcase. By submitting a showcase video, you acknowledge:

  • The video may be shared indefinitely with third parties (e.g., agents and casting directors) for the purpose of showcasing your work.
  • This constitutes a transfer of personal data that you voluntarily consent to.
  • Once shared, The Unseen cannot control how third parties use or distribute the video.
  • Third parties may contact you directly if your identity is apparent in the video.
  • You may request removal of your video from the showcase at any time, after which it will no longer be shared by us.

Videos on the Studio package are not added to the showcase or shared with third parties.

Showcase videos are retained unless removal is requested. Feedback documents are deleted within 12 months.

 

8.2 The Industry Lab at The Unseen

The Industry Lab is an online self-tape feedback tool included with our online course. It is a separate service from our in-studio packages and does not include the showcase.

How it works:

  • You upload your video through our members’ area. Each video must be 100 MB or smaller; larger files will be rejected.
  • Your performance is graded against The Unseen’s own 30-point rubric, developed from over ten years of grading and feedback by our team.
  • AI software supports the process by helping us analyse the video against that rubric and prepare your feedback. The rubric, the grading approach and the databases we use to make recommendations (such as monologue suggestions) are created, reviewed and updated regularly by The Unseen team.
  • Your feedback is sent to you by email.
  • Your video is not shared with agents, casting directors or any other third party.

The Industry Lab is a human-driven, technology-supported service. The AI software does not make decisions about you on its own; it works within a framework designed and maintained by our tutors.

Retention: we delete every Industry Lab video within 30 days of upload, and usually sooner once your feedback has been sent. If you would like a video deleted before then, email information@theunseen.co.uk. Feedback and scores may be retained for the duration of your membership so we can track your progress, and are deleted within 12 months of your membership ending.

Tools we use: Industry Lab submissions are received, stored and analysed using Google Workspace and Google AI services, with automation tools connecting them. Our members’ area is hosted by Circle. These providers process data on our behalf under their own security and privacy terms.

9. WhatsApp Groups

Participation in WhatsApp groups is voluntary.

Please be aware:

  • Your phone number will be visible to other group members.
  • WhatsApp processes data under its own Privacy Policy.
  • You may leave the group at any time.

10. Data Retention

We retain personal data only for as long as necessary for:

  • Delivering services
  • Legal and regulatory requirements
  • Financial and accounting purposes
  • Marketing optimisation (limited periods)

Showcase videos are retained unless removal is requested.

Industry Lab videos are deleted within 30 days of upload. Industry Lab feedback is retained for the duration of your membership and deleted within 12 months of it ending.

Names used for class sign-in are retained only while relevant for attendance or course administration.

Once no longer required, data is securely deleted or anonymised.

11. Your Data Protection Rights

You have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion (“right to be forgotten”)
  • Withdraw consent at any time
  • Object to processing (including marketing)
  • Restrict processing
  • Request data portability

12. International Data Transfers

Some third-party processors (e.g., Google, Meta, Vimeo, Circle) may transfer data outside the UK/EU.

Such transfers are protected by:

We implement appropriate technical and organisational measures to protect personal data, including:

  • Encryption

However, no method of transmission or storage is completely secure.
